Choral Music Hire Policy
McFarlane Music
McFarlane Music holds a working library of choral sheet music which is available for hire by choirs, schools, and other ensembles. The following terms apply to all hires. By taking delivery of any music from McFarlane Music, the hiring organisation (the “Borrower”) is deemed to have accepted these terms in full.
1. Hire Terms
McFarlane Music (the “Hirer”), operated by Jordan W. McFarlane MISM, loans choral copies to hiring organisations on the terms set out below. The hire fee, number of copies, titles, dates and any additional notes for each individual hire are confirmed in writing on the McFarlane Music invoice issued at the time of booking.
- Hire charges are agreed in advance for each hire and itemised on the McFarlane Music invoice.
- Standard hire period: one month from the date of collection or delivery, unless otherwise agreed in writing.
- Extensions may be requested in writing at least three days before the scheduled return date. Additional charges will apply and must be agreed before the extension takes effect.
- Late returns incur a charge of £5 per week, or part thereof, from the day after the return deadline.
- Collection and return must be in person unless postal delivery has been specifically arranged. Where postal return is agreed, all shipping costs and risks are borne by the Borrower.
2. Shipping
Where postal delivery has been agreed, the following terms apply.
- Outbound shipping from McFarlane Music to the Borrower is charged at cost and itemised on the invoice.
- Return shipping is entirely the responsibility of the Borrower, including all postage, packaging, and insurance.
- The Borrower must use a tracked and signed-for service for the return. McFarlane Music accepts no liability for copies lost or damaged in transit on return.
- Copies not received by the return deadline remain the Borrower’s liability until confirmed received and inspected.

3. Copy Condition & Care
The Borrower is responsible for the condition of all copies from the moment of collection or delivery until they have been returned and inspected by McFarlane Music.
- All copies must be returned in the same condition as received, with normal rehearsal wear excepted.
- Pencil markings only are permitted for rehearsal purposes. All pencil marks must be completely erased before return.
- Pen, highlighter, marker, or any permanent markings are strictly prohibited.
- Folded corners, tears, water damage, staining, or significant wear will be treated as damage.
- Copies must be kept in a safe, dry location when not in use and protected during transport — the use of music folders is strongly recommended.
- Copies must be distributed only to singers actively participating in the relevant project and must be collected in from all singers before return.
4. Damage & Loss
Any loss or damage must be reported to McFarlane Music as soon as it is discovered — do not wait until the return date.

- The Borrower will be notified of any replacement or damage charges before an invoice is raised.
- Normal wear through careful, appropriate use will not attract a charge.
- Deliberate damage or vandalism will result in full replacement charges and may result in the Borrower being refused future hire.
5. Payment
- The hire fee and any outbound shipping cost are payable in full before collection or delivery of materials.
- Payment is accepted by bank transfer only. Details will be provided on the McFarlane Music invoice.
- A detailed invoice will be provided for all transactions.
- Refunds for unused hire periods are not available once materials have been collected or despatched.
- Damage and replacement fees are payable immediately upon return and inspection of materials.
6. Cancellation
- Cancellations made at least seven days before the hire start date will receive a full refund of any payment made.
- Cancellations made with fewer than seven days’ notice will incur a charge of 50% of the hire fee.
- No refund is available once materials have already been collected or despatched.
7. Copyright & Permitted Use
All music loaned under these terms is protected by copyright. The hire fee covers rehearsal and performance use of the physical copies supplied for the stated hire period only.
- The Borrower must not photocopy, scan, photograph, or otherwise reproduce any part of the music under any circumstances.
- Copies are for use with the Borrower’s ensemble during the stated hire period only and must not be passed to any other group or individual.
- If additional copies are required, the Borrower must contact McFarlane Music — copies must not be reproduced independently.
- The Borrower accepts full responsibility for copyright compliance within their organisation.
Important: Unauthorised reproduction of copyrighted sheet music is illegal and constitutes a breach of these terms. McFarlane Music reserves the right to seek recovery of all losses arising from any such breach.
8. General
- These terms are governed by the laws of England and Wales.
- McFarlane Music reserves the right to request the immediate return of copies if these terms are breached. In such cases, the hire fee will not be refunded.
- Any variation to these terms must be agreed in writing by both parties prior to taking effect.
